This policy explains, in plain English, how Go Books collects, uses and protects your personal data. It will be reviewed by a solicitor before the service moves out of early access.
Who we are
Go Books is operated by GINKGO Pro Ltd, the data controller responsible for your personal data. You can contact us at support@ginkgopro.co.uk.
What we collect
- Account details: your name and email address, used to create and secure your account.
- Business details: the information you enter in Settings (business name, address, contact details).
- Invoices and clients: the invoice and client records you create.
- Expenses: expense records and any receipt images you upload.
- Bank transaction data: accessed via TrueLayer with read-only access. We can view transactions to match them to your records — we can never move your money.
- HMRC submission data: the figures and confirmation details needed to submit Making Tax Digital updates and VAT returns to HMRC.
Why we use your data
We process your data to provide the Go Books service — creating invoices, capturing expenses, reconciling bank transactions, and preparing and submitting tax updates. We also process data to meet our legal and tax-related obligations, and to keep the service secure.
Who we share it with (processors)
- Our hosting and platform provider (Base44/Wix) and its sub-processors, which provide the database, servers, email, logging and AI services that store your data securely and run Go Books.
- TrueLayer, for read-only Open Banking bank connection and transaction data.
- HMRC, to complete the Making Tax Digital and VAT submissions you authorise.
We do not sell your data.
International data transfers
Go Books runs on cloud infrastructure provided by our platform provider (Base44/Wix) and its sub-processors, some of which are located outside the UK, including in the United States. Where personal data is transferred internationally, it is protected by appropriate safeguards, such as a UK or EU adequacy decision or Standard Contractual Clauses, so your data is treated with the same level of protection wherever it is processed.
Automated processing and AI
When you upload a receipt or bill, the image and its extracted details are processed by trusted AI service providers used by our platform (for example OpenAI and Anthropic) solely to read the supplier, date, amount, VAT and suggested category. This processing is carried out only to provide the service to you. No automated decision produces legal or similarly significant effects about you, and you always review and confirm the result before it is saved to your records.
How long we keep it
We keep your business and tax records in line with HMRC requirements. Records are retained for at least 5 years after the 31 January submission deadline of the relevant tax year, after which they are removed. If you delete your account, any data we are legally required to keep is retained for this period and then removed; all other data is queued for removal.
Your rights under UK GDPR
- Access — request a copy of your data (use "Export my data" in Settings).
- Rectification — ask us to correct inaccurate data.
- Erasure — ask us to delete your data (use "Delete my account" in Settings), subject to legal retention.
- Data portability — receive your data in a machine-readable format.
- Object — object to certain processing.
- Complaint — you can complain to the Information Commissioner's Office (ICO) at ico.org.uk.
Cookies
Go Books uses only essential cookies needed for the service to function (such as keeping you signed in). We do not use advertising or tracking cookies.
